Phlebotomy Wait Time Tool

The Phlebotomy Wait Time Tool shows patients the typical wait at each of your blood draw sites before they leave home. Patients choose a location, a day and a time of day, and see the expected wait, the shortest time to come in and an hour-by-hour chart. A comparison view ranks every site for the same time. The tool embeds on your website with one short piece of code.

It is designed for laboratory outreach managers, patient access leaders and phlebotomy supervisors who want to spread walk-in volume across the day and set honest expectations for patients.

The tool above is a sample build with illustrative locations and wait times. Client versions are configured to each organization's draw sites, hours, data and branding.

What patients see
  • Each draw site with its address, phone, hours for the chosen day and a note such as fasting guidance

  • Time-of-day buttons (Opening, Morning, Midday, Afternoon and Evening) with the estimated wait on each

  • A color-coded estimate for short, moderate or long waits

  • The current wait when a site is open, and the shortest typical wait for the rest of the day

  • An hour-by-hour chart for any day in the coming week

  • A comparison of every site, shortest wait first

How the estimates are set

Each site can be set up one of two ways. The simple method uses one typical wait for each time of day and weekday, entered by staff. The hourly method imports average waits by hour and weekday from an Excel workbook, usually calculated from check-in and collection timestamps. Between hours, the estimate blends smoothly. The Opening period follows each site's own opening time, so an early site and a late site each show their own opening rush.

Frequently asked questions

How are the wait estimates calculated? Estimates are typical waits from your own history, not a live queue. With hourly data, each hour's average comes from recent visits for that site and weekday. With the simple method, staff enter one typical wait for each time of day.

What data do we need to get started? A list of draw sites with their hours is enough to launch with staff estimates. For hourly estimates, an export of check-in and collection times from your LIS, check-in kiosk or queue system lets us calculate averages by hour and weekday.

Can each location have its own page? Yes. The same tool can show every site with a comparison view, or a single site on that location's own web page.

How often should the wait times be updated? Most sites refresh monthly or quarterly, and after changes to hours or staffing. Updating means replacing one file. The embed code on your website stays the same.

Does the tool collect patient information? No. It asks for no names or health information, sets no tracking cookies and sends nothing back to a server. It only displays the wait estimates you publish.

Is this the live version? The page shows a sample build with sample data; client versions are configured to each organization's draw sites, hours and wait data.
